Reporting to the Director, Human Resources, the Administrator, Human Resources is responsible for supporting the effective delivery and quality support of Human Resources services to Ocean Wise, including assisting with recruitment, onboarding and offboarding, training, coordinating employee requests and changes, data entry, processing documentation and providing general Human Resources support. The Administrator, Human Resources proactively supports employees and managers to ensure policies and procedures are adhered to.

This is an incredible opportunity for a junior HR professional to showcase their strong attention to detail and leverage their technology expertise in a growing organization with engaged and supportive team members! We are seeking part-time/contract to start, with the possibility of extension.

Provides support to hiring managers to attract talent and create a positive candidate and onboarding experience for new hires by:

Writing, reviewing and editing job descriptions;
Proactively completing administrator duties for applicant tracking software;
Ensuring Assessment invitations are sent to candidates and are completed;
Ensuring reference and background checks are completed prior to onboarding;
Creating offer, transfer and/or promotion letters as well as new hire packages and ensuring all required documentation is on file;
Entering new employees in HRIS and assigning training as required;
Ensuring seamless communication to payroll with respect to position changes, salary adjustments, status changes, etc;
Working with representatives from other departments (e.g. IS, Admin, Security, etc) to ensure everything is in place for the arrival of the new hire or transferred employee;
Preparing and facilitating new employee orientation;
Ensuring all confidential records (paper and electronic) are kept up to date;
Supporting offers to foreign workers, new hires and employees to ensure proper immigration and work visa documentation (includes NAFTA, LMIA, PNP, CIC, etc) is received;
Obtaining proper documentation for respective roles.
Provides support to managers to ensure a thorough offboarding experience for employees departing from the organization by:

Proactively completing data entry in ADP to terminate employment;
Initiating the offboarding checklist and process with participating departments;
Working with representatives from other departments (e.g. IS, Admin, Security, etc) to ensure everything is in place for the employee’s last day of work;
Ensuring voluntary resignations are provided with the opportunity to complete an exit interview;
Ensuring all required documentation (paper and electronic) is on file;
Ensuring departing employee is provided with departure information related to extended health benefits, pension, etc.
Contributes to the continuous enhancement of HR service delivery by:
Maintaining the careers@ocean.org email account and responding to inquiries; escalating to Director of HR as required;
Ensuring HR web pages and documents are updated and maintained both externally and internally (the Reef);
Creating and maintaining various templates (on/offboarding checklists, interview guides, payroll change form, requisition for personnel, etc.)
Maintaining departmental organization charts on a monthly basis, including reviewing for accuracy with the applicable Director;
Assisting with the creation/updating of policies, procedures and other communication materials and manuals;
Proactively managing benefits administration and responding to related inquiries in a timely manner;
Ensuring HR processes and procedures are adhered to;
Ensuring human resources records are accurate, confidential and reported on in a timely manner;
Composing various types of employee correspondence including new hire, disciplinary and termination;
Entering changes in HRIS (position changes, salary changes, status changes, etc.)
Assisting in the maintenance of ADP admin and set up requirements;
Researching best practices and HR trends and provides recommendations to continuously improve;
Providing other HR Administration support as required.
Supports ongoing learning and development initiatives to encourage participation and a culture of learning by:
Communicating updates regarding online course availability, new courses, and/or other learning initiatives;
Assigning courses and maintaining up to date training records and hard copy certifications for employees as required.
Auditing assigned training and following-up on outstanding assignments as required;
Working closely with the JHSC to co-ordinate and organize with departments the scheduling and delivery of OHS training programs;

Maintaining organizational safety standards;
Continually improving our impact on the environment and greening of operations through support of EMS protocols;
Actively demonstrating the Ocean Wise’ values and expectations for conduct;
Performs additional duties of a similar nature or level as required
QUALIFICATONS/SKILLS, EDUCATION AND EXPERIENCE

1-3 years providing administrative support – experience in a hybrid work environment;
Completion of post-secondary courses in Human Resources and/or pursuit of CPHR designation an asset;
Previous Human Resources support experience an asset;
Experience maintaining and sharing documentation via Sharepoint;
Experience using an HRIS and ATS (ADP an asset);
Full proficiency in MS Office applications including Word, Excel, Visio and PowerPoint
Service oriented with the genuine desire to exceed internal and external customer expectations through timely and accurate communication;
Agile with demonstrated ability to balance multiple tasks with competing priorities;
Conveys a sense of urgency with strong attention to detail;
Strong communication & organizational skills;
Fast learner, interested in continuous process improvement and receptive to feedback;
Able to work independently and as part of a diverse team;
Ability to maintain confidential information.
